  • Overview

    Provides for coordination of the clerical and scheduling activities with the Surgery and Anesthesia Departments. Computer and application knowledge, strong organization skills, ability to multi-task, strong communication skills, ability to work independently and as a team player, medical terminology knowledge.




    1. Answers telephone and communicates messages to appropriate person/s, including coordination of communication needs internally and externally.
    2. Approaches patients, families and visitors in a professional manner.
    3. Protects patient sensitivities and right to privacy.
    4. Maintains patient confidentiality by following all HIPAA policies and procedures
    5. Electronically schedules surgical cases, anesthesia, and pain clinic procedures, taking into account average surgical times for each specified proposed procedure to begin and end each procedure within the assigned block.
    6. Attaches correct physician preference card to each scheduled procedure.
    7. When scheduling procedures, coordinates time and equipment needs with support staff (ER/Radiology/Pathology/OB), including surgical personnel resources available.
    8. Communicates with company representatives when reps, supplies, or equipment are needed and documents within the surgical schedule for shared communication.
    9. Electronically distributes daily surgery schedule to appropriate departments
    10. Assembles pain procedure packets and surgical procedure packets
    11. Organizes patient questionnaire and other HIPAA information for chart placement
    12. Assist with patient vital signs, height weight, allergy info as needed
    13. Departmental records/data collection
    14. Assist preoperative nurses by obtaining and receiving health history, medical clearance and other HIPAA information from various physician clinics and hospitals
    15. Manages key fobs for surgical access (available for rep use)
    16. Communicates with physician clinics and HIM personnel to ensure that HCHC surgeries are pre-authorized as needed.
    17. Prepares patient charts for upcoming surgical procedures.
    18. Gathers electronic and other health information required for review by anesthesia for upcoming surgical procedures.
    19. Manages department visitor flow.
    20. Assist with review of procedural documentation.
    21. Assists with charge review for surgical, anesthesia and pain procedures.
    22. Obtains mail from mailroom and distributes to appropriate location
    23. Assist in transferring patients, obtaining beds, supplies and equipment as needed.
    24. Reviews and captures daily case log information electronically
    25. Complies with the Corporate Compliance Policy and all laws, regulations, and Standards of Conduct relating to the position and agrees to report any suspected violations of law or Standards of Conduct.
    26. Complies with all applicable state and federal regulations.
    27. Completes all competencies as required.
    28. Attends all mandatory meetings and educational programs.
    29. Participates in staff meetings.
    30. Follows all safety protocols for patients and employees.
    31. Reports defective equipment, supplies and other safety hazards as appropriate.
    32. Establishes and maintains effective communication and good working relationships with co-workers.
    33. Utilizes initiative, strives to maintain steady level of productivity, self-motivates, manages time and activity.
    34. Acts as a role model to all staff, displaying exemplary behavior and attitude at all times while at work or at HCHC functions.
    35. Set the example of professionalism of HCHC and nursing on and off the unit by serving as a professional role model in appearance, communication, and ethical       behavior.
    36. Establish strong working relationships with the patient care providers.
    37. Assists and supports unit budget.
    38. Assists and supports effective communication on the unit
    39. Assists and supports unit and organizational quality initiatives
    40. Identifies and performs service recovery as needed
    41. Actively participates in departmental process improvement initiatives.
    42. Demonstrates flexibility with staffing needs.
    43. Self-directs personal and learning needs on an ongoing basis. Seeks learning opportunities to meet the identified needs through formal and informal means and keeps educational records current.

    Education and Experience (required)

    High school diploma or equivalent

    Associate's Degree or two years' relevant experience preferred

    Basic knowledge of medical terminology


    Annual Requirements

    Must complete all hospital required education


    Machines, tools, equipment and work aids

    Computer knowledge and application, various software applications. Ability to effectively operate basic office equipment.
